Purchase Request Kit

Planned: every request is approved by value, quotes are compared side by side, a person chooses with a reason, and receipts are checked against the PO.

Interactive demo availablePrices are not published yet. The kit is not on sale until it passes a supervised pilot.

Everything below describes the planned kit. The demo shows these ideas with a simulation. Nothing in this kit has yet been installed and tested in a real business; that is the next step.

The problem

Requests, supplier quotes and approvals are tracked on paper or chat, so nobody can see why a supplier was chosen or what is still pending.

Who it is for

Teams buying materials and services from suppliers

Designed for (to be confirmed in pilot)

  • Google Sheets
  • Google Apps Script
  • CSV export

CSV import and export are file transfers, not a live connection to Tally, Zoho, Busy or any other software.

Planned first-release scope

  • Purchase request form and register
  • Approval by value, using limits you set
  • Quote comparison: price, delivery time and payment terms
  • Supplier choice with a recorded reason
  • Draft purchase order for the purchase team to send
  • Goods receipt check against the PO, with short deliveries kept open
  • Manager summary: waiting approval, open orders, short deliveries

Not planned for the first release

  • Automatic choice of the cheapest supplier
  • Sending POs or messages without a person
  • Payments to suppliers
  • Live connection to accounting software or an ERP (CSV only)
  • Supplier portal

Planned setup steps

  1. 1.Copy the Sheet template into your business Google account.
  2. 2.Set your approval limits and approvers.
  3. 3.Add your supplier list.
  4. 4.Edit the PO layout with your business details.
  5. 5.Raise a test request and run it to receipt.

You need

  • • A Google account owned by your business
  • • Someone comfortable following a step-by-step setup guide

Support

Support terms will be published with the first installable release.

Questions

Is this available to buy today?
Not yet. Today you can try the interactive demo. The installable kit is being prepared and will be tested in a supervised pilot before it is sold.
Where is my data stored?
The plan: in your own Google account and Sheet, with Google processing it as your service provider. Saran Labs AI would not receive your purchase data. This will be confirmed in the pilot.
Does it pick the cheapest supplier?
No. It shows quotes side by side. A person chooses, and the reason is recorded.
Does it send the purchase order?
No. It drafts the PO. Your purchase team checks it and sends it.
Is this AI?
The core kit is rule-based automation: checks, routing and reminders you configure. Optional AI features would be separate, clearly labelled add-ons.

Pending

What the pilot will confirm

These points are not decided or proven yet. They will be settled with a supervised pilot in a real business before the kit is offered.

For larger teams and organisations

Need multiple departments, approval levels or connections to existing systems?

We can assess a tailored implementation. Scope, security requirements and integrations are agreed before delivery.

Path 1

Standard kit

A planned, customer-owned Google Sheet configuration with documented limits, for small teams.

Path 2

Tailored implementation

Discovery first: we map your process, systems and requirements, then agree scope in writing before any build.
